you actually switch on
Rands per month, excluding VAT — each card also shows the VAT-inclusive figure, so you can compare without arithmetic. Every plan includes the ledger, the dashboard and your contacts; the tiers add modules and seats. Change plan at any time and the modules unlock straight away.
Companies, users and transactions are never metered — put through as many as you like. Payroll is banded above 50 employees, because fifty payslips a month and five hundred are not the same job; the bands are below.
What you are not charged for
Ledgr bills the plan, not the pieces. Transactions are never metered, a user is never charged for individually, and the modules a plan unlocks apply to every company you run — not once per company.

A three-company group pays R1 799 ex. VAT for Enterprise — 2 companies included, unlimited users — plus one company add-on at R249 for the third. Inventory, multi-currency and time tracking are already on all three, and every user is included.
The one thing that is banded: payroll
Ten payslips a month and five hundred are not the same job — each employee is a PAYE, UIF and SDL calculation, a payslip, an EMP201 line and an annual IRP5. So payroll is banded above ten, and nothing else is. Above the free band you add staff in blocks of fifteen, so you only ever pay for the headroom you actually need. The first band is included in your plan.

Payroll never stops because of a band. If you grow past the band you paid for, payslips still run, EMP201s still file and the difference is settled at your next renewal — a missed payday is not a billing tool.
The other metered thing: storage
Files you upload — receipts, product photographs, signatures, logos. Documents Ledgr generates, like invoices, payslips and reports, are produced when you ask for them and stored nowhere, so they cost you nothing.

A recompressed receipt photograph is around 150 KB, so a gigabyte is roughly seven thousand receipts. You are warned at 80% of your allowance, before anything is charged — and like the payroll band, going over is a line on your next renewal and never a locked screen. Refusing to store a receipt would break the books and the VAT claim behind them.
The last two metered things: WhatsApp & AI scans
Two things cost Ledgr real money every time you use them — a WhatsApp Business conversation (reminders, receipts, statements) and an AI receipt scan. So each plan includes a generous monthly allowance, and only the heavy senders and scanners ever reach the overage. Nothing is ever blocked: going over is a line on your next renewal, exactly like storage.

A heavy scanner never pays a growing bill: turn on AI Assist for a flat R99 a month (R114 incl. VAT) and receipt scans are unlimited, nothing metered. And the meter caps itself — it will never quote you more than the flat rate you could have chosen instead.

Need one more thing without moving up a whole tier? An add-on attaches to your plan at a price below the next tier — so buying one always costs less than upgrading would, not more. Availability depends on your plan.

Questions people actually ask
What happens when I hit five invoices on Free?
Creating the sixth in the same calendar month is blocked with a prompt to upgrade. Everything already issued stays exactly where it is, and the counter resets on the first of the next month.
Do I lose data if I downgrade?
No. The module goes back to locked and its screens stop opening, but nothing is deleted. Upgrade again and it is all there. You can also export your data at any time from Settings, on any plan.
What happens if I go over fifty employees?
Your band changes and your renewal costs more — that is all. Payslips keep running, EMP201s keep filing and nothing locks. Ledgr shows your headcount and band in Settings → Billing, so the change is never a surprise on an invoice. If your headcount drops again, so does the band.
Which plans have employee bands?
Professional, Enterprise and Manufacturing, because they are the plans that include payroll. On Free, Starter and Business there is no payroll module and no band. Companies, users and transactions are never banded on any plan.
Is the price per user or per business?
Per business. The seat count is the number of user accounts that can sign in to that business at once — 1 on Free, 3 on Starter, 10 on Business, 25 on Professional, and unlimited on Enterprise and Manufacturing.
Who is the Manufacturing plan for?
Businesses that make something rather than resell it. If you hold a recipe, build to it, and buy the components against a plan, the three modules it adds — bills of materials, material planning and procurement — are the ones you are currently doing in a spreadsheet. If you buy finished goods and sell them on, Enterprise already has what you need and Manufacturing would sit unused.
Can my accountant have access without taking a seat from my team?
Your accountant or tax practitioner takes a seat like anyone else, but the Accountant and Tax Practitioner roles are scoped: full SARS access, view and export on financials, no ability to alter user permissions. See the roles guide.
How does paying actually work?
Card, through Yoco. Choose a plan above (or press Upgrade in Settings → Billing if you already have an account) and pick a term of 1, 3 or 12 months — a year is billed as ten months. Ledgr never sees your card details. When the payment clears you are emailed a licence key, and if you bought from inside the app the plan is applied to your business immediately.
Does it renew automatically?
The reminder is automatic; the payment is a tap. Yoco's gateway cannot charge a stored card, so Ledgr does not keep one and never pretends to. Seven days before your term ends you are emailed a payment link, chased if it goes unpaid, and a renewal extends from your existing expiry rather than from the day you paid — so paying early never costs you days. What happens to my data if I cancel?
Cancelling means stop renewing: you keep every day you paid for. After the plan ends you have one month of read-only access — sign in, open every report, export everything — with warnings at 21, 7 and 1 days naming the exact date. After that the data is deleted. Export from Settings → Data at any time, on any plan. The Tax Administration Act asks you to keep records for five years, so do it before you go.
How do I apply a licence key?
If you bought before signing up, choose I have a licence key on the first step of sign-up and paste it. If you already have an account, open Settings → Billing and enter it there. Either way the plan and its modules switch over on the spot — no need to sign out and back in.
I already use another accounting package. How hard is the move?
Contacts and bank statements import from a file; opening balances are one journal from your old trial balance. Most small businesses cut over in a morning. The full plan, including where to find the exports in your current system, is on switching to Ledgr.
Where is my data stored?
In Google Cloud's africa-south1 region, in Johannesburg. Every row carries
the id of the business it belongs to, and every request is scoped to the business on
your signed session — so a query only ever returns your own rows. More on that, and on
